A bid reaches your client through its share link — a private URL anyone can open without signing in. Bids share like any other document (see Documents and templates), but they add controls of their own: a client pricing view, view tracking, email sending, and an expiration date. All of them live in the editor header's Share and Client view popovers.
The share link
Click Share in the editor header and turn on Share via link. Anyone with the link can view the bid, and on bids they can also accept or decline it (see Client signatures). Turn the switch off to close the link for everyone outside your team.
The shared page shows your organization's name and logo above the bid. On the free plan it also carries a small Made with Exayard footer; on any paid plan that footer is removed.
Choosing what clients see
Click Client view in the editor header to control pricing disclosure:
Setting | What the client sees |
Hide unit prices | Line items with quantities and line totals, but no per-unit rates |
Show totals only | Just the subtotals and the bid total — line item tables collapse |
The hidden numbers are removed before the page is sent to the client — they are not just visually hidden. Your own view never changes. The same popover holds a client-facing Discount and an Exact total override; both lock once the bid is accepted.
Tracking views
Once sharing is on, a Views section appears in the Share popover: how many times the bid was viewed, when it was last viewed, and the most recent visits. Repeat visits within 30 minutes count as one view.
Each new view also sends you an in-app notification (Your bid was viewed). The very first view additionally sends you an email, controlled by the Bid viewed setting in notification settings.
If a shared bid has not been viewed after 3 days, you get a one-time reminder notification and email (Your bid has not been viewed), controlled by the Bid not viewed setting. The reminder skips automatically if the bid was viewed, accepted, declined, or expired in the meantime.
Emailing the bid
Click Email this bid in the Share popover to send the link directly. Enter up to 10 recipient addresses, add an optional personal message, and check Send me a copy to receive the same email yourself.
The email contains your message, the share link, and your name. Replies go to your email address — never to the AI assistant. After sending, the popover shows a summary like "Sent to 3 recipients" with the time of the last send. If a recipient has unsubscribed from Exayard emails, the send is skipped and the popover says so instead of counting it.
Sending requires sharing to be on, and is refused for expired or already-accepted bids.
Expiration dates
Set a date in the Expiration field of the Share popover to put a deadline on the offer. The bid stays open through the end of the chosen day; click Clear to remove it.
Expiration ends the offer, not the access: the link still opens after the date, but the page shows "This proposal expired on …" and the accept and decline actions are gone. Extend or clear the date to reopen the offer. Once a bid is accepted, the expiration field locks.
