Folder organization

Organize your files using folders for better project management.

Folders let you structure construction documents however works best for your team. You can nest folders, move files between them, and quickly access frequently used items through favorites.

Creating folders

Click the + button in the file explorer header and select New folder. Enter a name and click Create. The folder appears in your current location. If you are inside another folder, the new folder becomes nested within it.

You can create folders at any depth. Exayard navigates you into the new folder automatically after creation.

Navigating

The breadcrumb trail at the top shows your current location. Click any folder name in the breadcrumb to jump directly to that level. The file explorer offers several views: All Files shows the complete folder hierarchy, Favorites displays starred items for quick access, Takeoffs shows pages with measurements, and Deleted contains recently removed items that can be recovered.

Toggle between grid view and list view using the view mode button in the header. Grid view shows larger thumbnails for visual browsing; list view shows more files with additional details like dates and file sizes.

Use the sort dropdown to organize items by original order, name, sheet number, added date, edited date, or size.

Moving files and folders

Open the ... menu on any file or folder and select Move to... to choose from a list of all folders, or select Home to move to the project root.

To move multiple items at once, select them using Shift+click for a range or Ctrl/Cmd+click for individual items. A selection bar appears with a Move to... button that lets you relocate everything at once. Exayard prevents you from moving a folder into itself or any of its subfolders.

Favorites

Star frequently accessed files and folders by opening the ... menu and selecting Favorite. A star icon appears on the item, and it shows up in the Favorites tab for quick access. Open the ... menu and select Unfavorite to remove the star.

Favorites work across all item types: folders, files, and individual pages.

Deleting and recovering

Open the ... menu on a folder and select Delete to remove it. Deleting a folder removes all files and subfolders within it. Deleted items move to the Deleted tab where you can recover them by opening the ... menu and selecting Recover.

Organization strategies

Common approaches include organizing by trade or discipline (Architectural, Structural, Electrical, Mechanical, Plumbing, Civil/Site), by sheet code prefix (A-Series, S-Series, E-Series), or by revision date (Original Issue, Addendum 1, Addendum 2). Pick a structure that works for your workflow and maintain it consistently across projects so team members always know where to find documents.
