Vendor quotes

Track quote requests, record vendor pricing, and compare quotes side by side in chat with Exa.

Vendor quotes track the pricing you collect from suppliers and subcontractors alongside your estimate. You manage quotes entirely in chat with Exa: record a request, capture the vendor's response, then compare quotes side by side before deciding.

Open the Exa tab in a project's sidebar (or the standalone chat) to work with quotes. Quotes belong to a project, so start from the project you're pricing.

Recording a quote request

Tell Exa who you asked and for what: "Record a quote request to Hartman Electric for the light fixtures." Exa saves a tracking entry with a quote number, the scope, and an expiry date if you give one.

The request is a record for your own tracking. Exayard does not contact the vendor; you send the request yourself.

Recording a received quote

When the vendor responds, capture their pricing in either of two ways:

  • Paste or dictate the quoted line items to Exa.

  • Upload the vendor's quote PDF to the project's files, then ask Exa to read it. Extraction transcribes the document's line items and costs 3 credits. Lines it cannot read are dropped and reported rather than guessed.

Either way, Exa shows a review card listing every line with quantity, unit price, and totals. Nothing is saved until you click Apply. Quote lines on the card are not editable; if something is wrong, click Reject and dictate the correction.

Comparing quotes

With two or more received quotes on a project, ask Exa to compare them: "Compare the three electrical quotes." The Quote comparison card lines the quotes up item by item, one column per vendor.

Matching items share a row, and anything a vendor didn't price shows Not quoted. The cheapest quote gets a Lowest total badge. When the lowest total leaves out items other vendors priced, the card warns you to compare row by row before deciding. All compared quotes must use the same currency; currency conversion is never applied.

Accepting a quote

Click Mark accepted on the comparison card, or tell Exa to accept a quote. A confirmation dialog warns that the decision cannot be undone.

Accepting records your decision on the quote itself. It does not change your estimate: line-item prices stay as they are, so enter the winning numbers into your line items when you're ready. See Line items and pricing.

When a quote nears its expiry date, a suggestion chip in the chat sidebar reminds you which quotes are about to lapse.
