Estimator setup

Build a knowledge base so the AI can generate accurate estimates for your clients.

The Estimator is an AI-powered tool that generates cost estimates based on your organization's knowledge. It draws on uploaded files and product catalogs to produce estimates grounded in your actual pricing, past bids, and company standards.

Knowledge

The estimator's accuracy depends on the context you provide. Open Estimator from organization settings to configure its knowledge base. The Knowledge section is where you upload reference documents that the AI uses when generating estimates.

Click Upload files to add documents like past bids, material specs, scope documents, or company standards. Supported formats include PDF, DOCX, XLSX, CSV, and TXT. Files are processed after upload -- you'll see a Processing or Syncing status while the estimator indexes the content. Once synced, the file is available for the AI to reference.

To remove a file from the knowledge base, click the menu on the file row and select Remove. This removes it from the estimator's context but does not delete the file from your organization.

Product catalogs

Below the knowledge files, the Product catalogs section connects your existing catalogs to the estimator. Catalogs provide structured pricing and material data that the AI uses for line-item cost lookups.

Click New catalog to create a catalog directly from the estimator settings, or add an existing one by clicking Add next to any catalog listed under Available. Enabled catalogs appear at the top with their product count and sync status. To disconnect a catalog, select Remove from its menu -- the catalog itself is not deleted.

Testing the estimator

The right side of the estimator settings page is a chat panel where you can test your configuration. Type a question in the Ask your estimator a question... input to see how the AI responds using your knowledge base.

The estimator searches your uploaded files and enabled catalogs, then generates an estimate with citations. Click any cited source to preview the referenced file with the relevant passage highlighted. For spreadsheets, the matching row is highlighted automatically.

Each response produces an Estimate document you can open, edit, and share. Click New chat to start a fresh conversation.

How it works with the widget

The estimator powers the AI chat in your customer-facing widget. When a visitor asks for a quote or pricing through the widget, the same knowledge base and product catalogs are used to generate responses. Configuring the estimator in settings directly improves the quality of estimates your widget provides to leads.

Tips for better estimates

Upload documents that reflect your current pricing and scope standards. The more specific your knowledge base, the more accurate the AI's output. A catalog with up-to-date unit costs paired with a few recent bids gives the estimator strong context for new estimates. You can attach files directly in the chat input to include project-specific documents like plans or specifications alongside your knowledge base.
