Claude routines with Exayard

Set up a Claude routine that checks Exayard on a schedule and reports what changed, such as accepted bids or finished takeoffs.

A routine in Claude runs a request for you on a schedule you pick, or when another app calls it. Claude cannot be told the moment something happens in Exayard, so a routine does the next best thing: it asks Exayard what changed each time it runs.

Before you start

Connect Exayard to Claude first, as the article on connecting Exayard to your AI assistant explains. Sign in with the Exayard account and company you want the routine to use.

A routine runs as you. It sees what you can see in Exayard and nothing more.

Make the routine

In Claude, create a new routine and choose when it runs: a schedule, such as every weekday at 7:00, or a call from another app. Turn on the Exayard connector for the routine, then write what Claude should do in your own words.

A few requests that work well:

  • "Check my Exayard bids. For any bid a client accepted since yesterday, draft a kickoff email to the client with the project name, the accepted total and next steps. Leave it as a draft."

  • "List the Exayard projects where a takeoff finished since yesterday, with a link to each."

  • "Look for plan sets uploaded to my Exayard projects this week that replace earlier sheets, and list the sheets that changed."

Save the routine, then run it once by hand to check the result.

Good to know

A routine checks only when it runs. A bid accepted at 9:05 shows up the next time the routine runs, not at 9:05.

AI work in Exayard, such as a takeoff, uses your company's AI usage. Ask a routine to report and draft, and start paid work yourself.

To stop a routine, pause or delete it in Claude. To stop Claude from reaching Exayard at all, remove the Exayard connector in Claude.
