Exporting

Export spreadsheets to PDF, Excel, or CSV.

Written by Sarah Chen

Exporting lets you share spreadsheet data with clients, subcontractors, or team members who may not use Exayard. Click the Download button in the spreadsheet toolbar to see three format options: Excel (.xlsx), CSV (.csv), and PDF (.pdf).

Excel

Excel preserves the full spreadsheet including all sheets, cell formatting, formulas, column widths, and row heights. Recipients can open and edit the file in Microsoft Excel, Google Sheets, or any compatible application. Use this when sharing work that others need to modify.

CSV

CSV exports the first sheet (by tab order) as plain text with comma-separated values. Formulas are converted to their calculated results. Formatting and multiple sheets are not preserved since CSV is a plain-text format.

This format works with virtually any software, making it ideal for importing into accounting systems, databases, or other tools that need raw data.

PDF

PDF opens the print dialog where you configure page layout, scaling, and headers, then click Download PDF. The same dialog has a Print button to send the sheet straight to a printer. The result preserves the exact visual appearance of your spreadsheet, and recipients cannot edit it — the right choice for client estimates, bid packages, and final deliverables.

See Printing options for details on configuring paper size, margins, headers, footers, and other PDF output settings.

How downloads work

Excel and CSV download immediately when you pick the format, with a filename matching your spreadsheet name and the matching extension. PDF downloads after you set up the print dialog.

Exporting from the file explorer

If a spreadsheet started as an uploaded file, you can also export it from the file explorer without opening the editor. Open the item menu and use the Download submenu to save the current data as Excel or CSV, or choose Original file to download the unmodified upload.

Choosing the right format

When sending estimates to clients, PDF keeps your numbers locked and your formatting intact. When collaborating with team members, Excel lets them edit and send the file back for you to re-import. When feeding data into other systems, CSV provides the cleanest interchange format.
